About this role
We’re looking for someone to join as a Personal Assistant to our CEO in a flexible, part-time role. This position is perfect for someone reliable, proactive, and organized — someone who takes initiative, solves problems independently, and enjoys making life easier behind the scenes.
You’ll support the CEO mainly with personal, organizational, and day-to-day tasks —so a practical, hands-on mindset is essential. You’ll often work alone and manage your own schedule, with some reactive tasks during the day.
Working Hours: Approx. 10 hours/week
What you will be doing
- Calendar and Meeting Management: Organize and manage the CEO’s calendar, including scheduling appointments, meetings, and events, sending invitations, and preparing necessary materials such as agendas and notes.
- Administrative Support: Provide comprehensive support by preparing documents, managing correspondence, and ensuring timely follow-ups on action items.
- Travel and Itinerary Coordination: Handle all travel arrangements, including booking flights and accommodations, preparing detailed itineraries, and managing last-minute changes.
- Personal Assistance: Coordinate personal appointments (e.g., doctor or dentist), run errands, manage services and service providers , and arrange personal travel plans.
- Communication Management: Screen and prioritize emails, calls, and correspondence while communicating professionally on behalf of the CEO with internal and external stakeholders.
- Task Coordination: Act as the CEO’s point of contact to coordinate tasks, follow-ups, and ensure efficient communication flow with the team and partners.
- Confidentiality and Trust: Handle sensitive information with the utmost professionalism and serve as a trusted advisor, ensuring the CEO’s focus remains on strategic priorities.
What you need to be successful in the role
- Currently enrolled in a Bachelor’s or Master’s degree program.
- Fluent in German and English, both spoken and written.
- Proficiency in Microsoft Office Suite, with excellent organizational, time-management, and professional communication skills.
- Reliable, proactive, detail-oriented, and flexible, with the ability to handle tasks reactively (2-3 hours/day) and manage multiple priorities independently.
- Valid driving license and availability during agreed-upon hours.
